A PRACTICAL START

Start with these steps

  1. Open Sign PDF and choose the document. Confirm the recipient accepts a visible signature.
  2. Create a signature or initials, use it, then click or tap the intended place on the page to position it.
  3. Adjust the field, review every page that needs signing, prepare the PDF and download the result.

Check the signing requirement before placing a mark

Some recipients accept a visible name or signature image; others require a specific signing service or certificate-based digital signature. A mark that looks like handwriting does not by itself verify identity or provide cryptographic proof that a document is unchanged.

Ask the recipient which format they need before spending time placing fields. SafePDFHub is useful for visible signatures, initials, dates, text and checkboxes. It does not replace a required identity check or certificate-signing workflow.

Use signatures and initials for their own purpose

Choose Signature for the main signing area and Initials for short marks beside clauses or on individual pages. Their placement is separate even when the same person creates both. Check the dialog title and action label so that you are preparing the intended mark.

After choosing Use Signature or Use Initials, move over the PDF to position the mark and click or tap to place it. Creating the mark does not mean it has already been added to every page. On touch devices, use deliberate taps and inspect the placed field before continuing.

Adjust the field without losing sight of it

Place the mark inside the page boundary and away from printed text. Use the field controls to move, resize or adjust appearance, then inspect the same area using the viewer zoom and workspace controls. A signature that fills a small preview can still be oversized at normal reading scale.

If a field is near the bottom of a page, scroll within the document view or expand the preview to keep it visible while changing settings. Check contrast against the page background. Avoid making the mark so faint that it disappears when printed or viewed on another screen.

Apply to several pages only when that is intended

Current page, all pages, page ranges and specific pages describe different scopes. A page position in the viewer may not match a number printed in the document. Read the selected scope before applying a mark more widely.

Automatically repeating the same mark can put it on cover sheets, instruction pages or over different layouts. Review the first, middle and last selected pages, plus any page with a different size or rotation. Add separate marks when the signing areas differ instead of relying on one repeated location.

Review the saved PDF as the recipient will see it

Prepare the signed PDF and download it before leaving the session. Open that file in a PDF reader, check the signature areas at normal scale, and verify dates, names and selected checkboxes. Keep the original unsigned document separately.

Finish layout changes before a certificate-based signing stage performed elsewhere. Editing an already digitally signed document can affect validation or be restricted by the signing workflow. Do not treat a visible mark remaining on the page as proof that an existing digital signature is still valid.

BEFORE YOU SHARE

Check the finished file

  • The recipient accepts the type of signature you used.
  • Every required page has the intended mark, with no unintended repeats.
  • Names, dates and checkboxes are correct in the downloaded PDF.
  • The document is readable and the unsigned original is retained.
